TERMS AND CONDITIONS

Haywood Hall was a gift of Mary Stearns to the NSCDA in the State of North Carolina. We are a non-profit organization, supported and maintained by member and patron contributions. Haywood Hall is available for weddings, receptions, meetings, parties and other approved functions. Our policies help assure proper maintenance, use and enjoyment of our facilities. We request your cooperation in adhering to our usage policies to ensure the continued preservation of North Carolina’s architectural heritage. The upstairs is opened on a limited basis.

TO RESERVE THE HOUSE

Contact the Resident Manager (919-832-8357), weekdays between the hours of 9:00 AM and 5:00 PM. An interview is necessary before reservations can be made. (No events may be scheduled on Thursdays between 9:00 AM and 3:00 PM). Only one event may be scheduled for any particular day. Scheduled functions, meetings, etc. of the Haywood Hall Committee of the Colonial Dames take precedence at the time of scheduling. Maximum capacity is 150 people.


Rental Fees & Deposits (effective 3/1/2011)

All fees are inclusive of our utilities, security, and maintenance.  Rental hours are inclusive of set-up, the event and client’s individual clean-up.  Any additional required time is $100 per hour. The capacity of the house is 100 people as per the fire marshal.

Wedding and Receptions:  
  The fee is $1,850.00 for up to 8 hours plus a $100 administrative fee.
  A deposit of $975 must accompany the signed contract to reserve the date for the function.  The balance of $975 is due 90 days prior to the function.  These monies are nonrefundable.

Dinners and Evening Parties:


The fee is $300.00 for up to 4 hours and $600 for 4-6 hours.  There is a $100 administrative fee.


A deposit of 50% must accompany the signed contract to reserve the date for the function.  The balance is due 90 days prior to the function.  These monies are nonrefundable.


Luncheons:
The fee is $200 for 2-4 hours. Flexible pricing for smaller groups. There is also a $50 administrative fee.


A deposit of $100.00 must accompany the signed contract to reserve the date for the function.  The balance is due 90 days prior to the function.  These monies are nonrefundable.
Boxed lunches are available.

Nonprofit Functions:  These functions are eligible for a $50.00 discount

Damage Deposit:  
A check for $350.00, payable to Haywood Hall, is required for all wedding functions.  It is due no later than 2 weeks to the function.  If excessive cleaning and/or repairs to the property (house or gardens) are required after the event, the amount thereof will be deducted from your damage deposit.  The remainder will be returned to you within 4 weeks after your function.  If costs for repairs and/or cleaning exceed the amount of the damage deposit, you will be billed for the balance due.  Labor incurred by Haywood Hall to perform services otherwise the responsibility of the Licensee according to the Terms, Conditions, and Rules (attached and incorporated herein by reference) will be billed at a minimum of $100.00 per hour. There is a return check fee of $35.00

Tours of the House:
Occasionally licensees request a guide be available for a function to explain the history, etc. of Haywood Hall.  We are pleased to be able to offer this service for a tour fee of $100, paid to Haywood Hall with the final payment.  Arrangements must be made at the time of booking in order that your request can be honored.

Portraits:
There is no fee for access to the gardens while having portraits done.  There is, however, a fee if you require access to the house for any reason during the portrait session.  For brides who have scheduled a wedding ceremony and/or reception at Haywood Hall, the fee is $25.00 per hour.  For guests who have not paid to reserve Haywood Hall, the fee is $75.00 per hour.  Please make arrangements with the Resident Manager well in advance of needed date and time.


Policies
Set-up and Clean-up 
Guests who rent Haywood Hall are responsible for providing support services (e.g. decorating, set-up, and clean-up-including trash removal) for their event.  Please see the attached list.

Caterers
Caterers must have a valid caterer’s license.  Caterers and/or Licensees are responsible for providing all tables, preparation tools, china, crystal, eating utensils, etc.  Our dining room table (4’ by 8’) may be used after the protective mat is properly in place.  An approved list is available should you need a caterer.

Alcoholic Beverages 
Alcoholic beverages are permitted.  However, any and all liabilities arising from the consumption on the premises are the responsibility of the licensee.  Check with the ABC Board to determine if a permit is required for your function (779-0700).  At a minimum, either the licensee, must obtain a Limited Special Occasion Permit, or the caterer must have a Mixed Beverage Catering Permit.

Music, Dancing, and Tents
Bands and/or DJs are allowed, but music must end no later than 11:00 PM per Raleigh City noise ordinance.  Our electrical capacity is limited; we have several 15/20 amp outlets that will support a DJ and tent lights.  Bands will require renting a portable generator.  Tents and dance floors may be erected the day of the function and must be removed either the same evening or early the next morning depending upon when the function ends. Tents may not be staked. The largest tent that our gardens will accommodate is 30’ by 40’.  

Smoking
We strongly encourage you to consider asking your guests not to smoke at your Haywood Hall event.  If you do allow guests to smoke, you must carefully adhere to our policies.  Smoking is not allowed in the house, on any of the porches, in the outside bathroom, on the doorsteps, or on the ramps leading to the house and outdoor restroom.  If anyone does smoke in the house or on the porches, your entire damage deposit ($250.00) will be forfeited.  If you anticipate smokers at your event, please provide ashtrays for outdoor tables.  Any cigarette butts that are discarded on the grounds (including the driveway and brick walkways) must be picked up after the event.

Parking
Parking for the handicapped and caterers is allowed in the driveway at 206 E. Edenton Street.  Parking for guests is available in the front of the House where permitted by the City of Raleigh. After business hours and on weekends, additional parking is available for guests, musicians and the caterer’s support staff across Edenton Street in the State parking lots.
